1. What Information Do We Collect?

Information you give us directly

In Short: We collect account information, payment-related information, support communications, and the content you choose to submit to ZeroTwo.

The personal information we collect depends on how you use ZeroTwo and which features you enable. Information you provide directly may include:

• Account and profile data, such as your name, email address, username, avatar, company or team details, billing address, and account preferences.

• Authentication data, such as login credentials, password-related data, single sign-on details, and security verification data.

• Payment and subscription information. Purchases are processed by payment providers such as Stripe or Apple Pay through Stripe. We typically receive transaction metadata, billing status, and limited payment identifiers rather than full payment card numbers.

• Support and communications data, such as messages you send to us, responses to surveys, or other information you provide when requesting help.

• Content you create or upload, including prompts, chat messages, assistant replies, project instructions, notes, files, documents, images, audio, video, and extracted snippets associated with your workspace.

• Connected account data. If you connect third-party services such as Google Workspace, Microsoft 365, GitHub, Linear, Notion, or other integrations we support, we may access and process the content and metadata needed to perform the actions you request.

You are responsible for making sure you have permission to upload or share any personal, confidential, or regulated information with ZeroTwo. If you do not want certain information processed through our Services or third-party AI providers, do not submit it.

Information collected automatically

In Short: We collect technical, usage, and diagnostic information automatically when you use our website, web app, and mobile app.

This information may include:

• Log and usage data, such as IP address, timestamps, pages viewed, features used, searches performed, referring URLs, crash data, and other service diagnostics.

• Device and network data, such as browser type, device identifiers, operating system, language, mobile carrier, and app version.

• Cookie, local storage, and similar technology data used to keep you signed in, preserve settings, measure performance, and understand feature usage.

• Approximate location inferred from your IP address, when available, for security, fraud prevention, and regional experience settings.

Mobile permissions and optional location data

In Short: Some ZeroTwo features request access to device capabilities only when you choose to use those features.

Depending on the platform and feature, ZeroTwo may request access to your camera, microphone, photo library, or browser geolocation.

• On iOS, camera, microphone, and photo library permissions are used so you can capture, upload, or save files and media inside the app.

• On the web, we may request browser geolocation permission during signup or profile setup. If you allow it, we may store latitude and longitude and, where available, related city or country metadata.

• You can deny or revoke these permissions at any time in your device, browser, or operating system settings. If you do, some features may no longer function fully.

2. Google Workspace API Data Usage and Restrictions

In Short: Data obtained from Google Workspace APIs is used only to provide user-requested features and is not used by us to develop, improve, or train generalized AI or machine learning models.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

This means:

• Google Workspace data accessed through Gmail, Drive, Calendar, Docs, Contacts, or similar Google services is used only to provide the ZeroTwo features you request.

• We do not use Google Workspace API data to train generalized or non-personalized AI or machine learning models.

• If Google Workspace data is processed through third-party AI providers to fulfill your request, it remains tied to your individual workflow and is not used by us for generalized model training.

3. How Do We Process Your Information?

In Short: We process your information to operate ZeroTwo, fulfill your requests, secure the platform, process payments, and comply with law.

We may process your information to:

• Create and manage your account, authenticate you, and maintain your workspace.

• Deliver chats, automations, search, file analysis, image generation, audio or video features, collaboration tools, and other product functionality.

• Access and process data from connected integrations when you authorize those connections and request an action involving them.

• Process purchases, subscriptions, invoices, refunds, and fraud checks.

• Provide customer support, troubleshoot issues, monitor reliability, and protect against abuse or security incidents.

• Communicate service updates, policy changes, billing notices, and other non-marketing messages required to operate your account.

• Comply with legal obligations, enforce our terms, and protect our rights, users, and Services.

5. When And With Whom Do We Share Your Personal Information?

In Short: We do not sell your personal information. We share information only as needed to operate ZeroTwo, fulfill your requests, or comply with legal obligations.

We may share personal information with:

• AI providers you invoke through the product. Depending on the model or feature you choose, the data sent may include prompts, assistant replies, attachments, images, retrieved file snippets, project instructions, and enabled profile or memory context.

• Hosting, database, authentication, storage, security, customer support, and communications providers that help us run the Services.

• Payment processors and related financial service providers, such as Stripe, to process purchases and manage billing.

• Analytics and infrastructure vendors, such as Google services, that help us measure service usage, performance, and security.

• Integration partners and third-party services that you choose to connect, when sharing is necessary to retrieve data or perform the actions you request.

• Law enforcement, regulators, courts, or other parties where disclosure is required by law or reasonably necessary to protect rights, safety, or the integrity of the Services.

• A buyer, investor, or successor entity in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and legal safeguards.

Provider-specific practices may vary. Most AI providers process submitted content to return a response. Some providers or models made available in ZeroTwo may retain or use submitted content under their own policies. Where applicable, we present additional provider disclosures in-product.

6. Do We Use Cookies And Other Tracking Technologies?

In Short: Yes. We use cookies, local storage, pixels, SDKs, and similar technologies to operate the website and understand usage.

These technologies help us:

• Keep you signed in and remember your settings.

• Secure sessions and detect abuse.

• Measure traffic, engagement, and product performance.

• Understand how users discover and use ZeroTwo.

Our website also uses Google Tag Manager and Google Analytics. Depending on the site experience and controls we provide, you may be able to manage non-essential cookies through our consent tools or through your browser settings. Blocking certain cookies may affect how parts of the Services function.

7. Do We Offer Artificial Intelligence-Based Products?

In Short: Yes. ZeroTwo offers features powered by third-party AI providers, and using those features may require us to send your content to the provider you select.

ZeroTwo offers chat, search, analysis, generation, automation, and other AI-assisted features. To provide these features, we may send relevant data to the selected provider, including prompts, chat history needed for the current task, files or media you attach, retrieved snippets from your workspace, project instructions, and profile or memory context you have enabled.

Our AI providers may include Anthropic, OpenAI, Google, xAI, Cohere, Mistral, Perplexity, Groq, fal, Stability AI, DeepSeek, Qwen, Kimi, and other providers we make available over time.

Most providers process submitted content only to generate a response. Some providers may retain or use submitted data under their own terms or privacy notices. You should review the provider-specific disclosures shown in ZeroTwo and the provider's own policies before using a model for sensitive work.

We do not use data from Google Workspace APIs or from connected third-party integrations to train generalized AI or machine learning models. Data from connected services is used only to provide the features and automations you request.

8. How Do We Handle Sign-In With Third-Party Accounts?

In Short: If you choose to sign in through a supported identity provider, we receive basic account information from that provider.

When you choose a third-party sign-in option that we support, we may receive information such as your name, email address, profile image, provider account identifier, and other account metadata the provider is configured to share.

We use this information to authenticate you, create or link your ZeroTwo account, and maintain your login session. We do not control how the identity provider handles your information, so you should review that provider's privacy notice as well.

9. Is Your Information Transferred Internationally?

In Short: Yes. ZeroTwo and our service providers may store or process information in the United States and other countries.

If you use the Services from outside the United States, your information may be transferred to jurisdictions that may not provide the same level of legal protection as your home country. Where required, we use appropriate safeguards and contractual measures for international data transfers.

10. How Long Do We Keep Your Information?

In Short: We keep personal information only for as long as needed for the purposes described in this Privacy Notice, unless a longer period is required by law.

In practice, this means:

• We retain account, workspace, billing, and support records while your account is active and for a reasonable period afterward to support legitimate business, security, tax, accounting, and legal needs.

• We retain content you store in ZeroTwo until you delete it, your workspace is deleted, or retention is otherwise required for security, fraud prevention, backups, or legal compliance.

• If you delete your account or ask us to delete your data, we will delete or anonymize personal information from active systems when reasonably practicable, unless we must keep it for legal, security, fraud-prevention, or backup purposes.

• Backup copies may persist for a limited period before being overwritten.

11. How Do We Keep Your Information Safe?

In Short: We use reasonable technical and organizational safeguards designed to protect personal information.

These safeguards may include access controls, encryption in transit, secure infrastructure, monitoring, and internal policies intended to limit unauthorized access or misuse. No system is perfectly secure, so we cannot guarantee absolute security.

12. Do We Collect Information From Minors?

In Short: ZeroTwo is not intended for children under 18, and we do not knowingly collect personal information from them.

If we learn that we have collected personal information from a child under 18 without appropriate authorization, we will take reasonable steps to delete that information. If you believe a child has provided us with personal information, contact us at reed@zerotwo.ai.

13. What Are Your Privacy Rights?

In Short: Depending on where you live, you may have rights to access, correct, export, restrict, or delete your personal information and to withdraw consent for certain processing.

You can generally:

• Review and update account information in your account settings.

• Disconnect third-party integrations and revoke provider permissions using the relevant integration or provider settings.

• Revoke camera, microphone, photo, and location permissions through your device or browser settings.

• Delete your account from within the iOS app by going to Settings, then Account, then Delete Account. You may also contact us at reed@zerotwo.ai to request deletion or exercise privacy rights.

When you request deletion, we will remove your account and personal information from active systems subject to the retention limitations described in this Privacy Notice.

14. Controls For Do-Not-Track Features

Most browsers and some mobile platforms offer a Do-Not-Track setting. Because no uniform industry standard exists for recognizing or honoring DNT signals, we do not currently respond to them unless required by applicable law.

15. Do United States Residents Have Specific Privacy Rights?

If you live in a US state with an applicable privacy law, you may have rights to know what personal information we collect, access a copy of that information, correct inaccuracies, delete personal information, or appeal the denial of a request, subject to applicable exceptions. 16. Do We Make Updates To This Notice?

In Short: Yes. We may update this Privacy Notice from time to time to reflect product changes, legal requirements, or operational updates.

18. How Can You Review, Update, Or Delete The Data We Collect From You?

You may review, update, or request deletion of your personal information by using available in-product settings or by contacting reed@zerotwo.ai. If you are using the iOS app, account deletion is available in-app under Settings > Account > Delete Account.

To help protect your account, we may need to verify your identity before completing certain requests.
